Data Compliance & Media Manufacturing

This page is a client-facing reference for data intake, approved file types, and compliance expectations when submitting work to Hako Shikin. We transform complex client data into secure, compliant, high-impact media products — for traditional print, promo, for transactional billing statements to direct mail and electronic delivery systems.

Our media manufacturing services are purpose-built to support high-security operations across financial services, street to store level consumers, healthcare, government, and enterprise clients. Whether your files are legacy-formatted, proprietary, or come from disparate systems, we handle them all — seamlessly. Our Azure, AI-driven media systems are built not only for compliance, but for cost-effective branding and production at scale.

Submission note: If you are unsure whether your files meet these guidelines, submit what you have and include a short description of your goal, target size, and delivery method (print, mail, and/or electronic delivery).

Accepted Data Formats

We accept and process a wide variety of industry-standard formats across two major categories: data processing for output generation and production artwork.

Data Processing Formats

Print streams: AFP, PostScript, PDF, PCL
Structured data: XSL-FO, XML, CSV, EDI, JSON
Business files: Microsoft Office files, legacy print streams, and proprietary ERP outputs
Enterprise exports: SAP export files, IBM legacy system exports, and flat files from proprietary data environments

Production Artwork Formats

We prefer files as PDF/X standards (print-ready), EPS, TIFF, and high-resolution JPEG, but work with anything from paper drawings, to new apps on the market output.
Adobe: Illustrator (.ai), Photoshop (.psd), InDesign (.indd)
Digital proofing: SVG, PNG, BMP, and GIF for digital proofing or previews
Emerging file formats such as Canva, IPAI, and app exports, we recommend exporting as a print ready PDF with 1/8" bleeds

Our programmers engineer our systems to intelligently convert, format, and output both structured data and creative media into compliant, brand-accurate, and audience-ready communications — whether printed or electronic within industry standard compliance.

Compliance Standards & Controls

Security and trust are foundational to our process. We operate under a unified compliance framework that blends Japanese and global standards. This blueprint ensures your data—whether medical, financial, transactional, or creative—is protected, audit-ready, and fully transportable across delivery formats.

Common Standards We Align With

Healthcare: HIPAA, HITECH for healthcare data
U.S. Government / Defense: DoD CMMC, FedRAMP, FISMA for U.S. government and defense projects
Financial: PCI-DSS, GLBA, SOX, ISO 20022 for financial systems
International Security / Sovereignty: APPI, ISMAP, FISC, JIS Q 27001 for international information security and data sovereignty
Print Security: Komori Printing standards for trusted print security and currency-grade output
Privacy / Accessibility / Identity Media: JIS X 8341-3 (accessibility), JIS Q 15001 (privacy protection), and ISO/IEC 19794 for biometric and identity-based media
AI Governance: Emerging AI compliance protocols including ISO/IEC 23894:2023, NIST AI Risk Management Framework, and cloud-based content integrity monitoring for generative media
Secure file sending: For sending secure files we recommend virtru email service.

Infrastructure Controls

All client data is processed through Microsoft GCC 365 and hosted securely within Microsoft Azure environments. Azure supports multi-region encryption, role-isolated logic functions, and AI model orchestration for intelligent compliance handling. Systems are protected by Fortinet Zero Trust firewalls and encrypted within Adobe Secure Cloud environments. Our infrastructure includes role-based access (RBAC), multi-factor authentication (MFA), data loss prevention (DLP), and real-time SIEM threat detection.

Audit note: If your organization requires specific language for SOWs, DPAs, BAAs, or vendor questionnaires, include your template in your initial request so we can align intake and output controls from day one.

Print-Ready PDF Tips & Helpful Submission Guidance

To prevent delays, submit print-ready PDFs whenever possible. If you cannot export a print-ready PDF, submit your original working files (AI/PSD/INDD/Canva link/export) and include: final trim size, quantity, intended material/finish, and where it ships.

Universal Checklist (Any Program)

Size: Build at final trim size; add 1/8" bleed on all sides (unless your product spec differs).
Safe area: Keep critical text/logos inside a safe margin (commonly 1/8"–1/4" from trim).
Resolution: Raster images at 300 DPI at final size (avoid upscaling tiny images).
Color: Use CMYK for print when available; include spot/Pantone if required for brand matching.
Fonts: Embed fonts or convert to outlines when appropriate; avoid missing font substitutions.
Export: Prefer PDF/X (PDF/X-1a or PDF/X-4) when available; avoid “smallest file size” exports.

Adobe Illustrator / InDesign / Photoshop

Illustrator: Save As / Export → PDF → choose PDF/X-4 (preferred) or PDF/X-1a. Check Use Document Bleed Settings.
InDesign: Export → Adobe PDF (Print) → preset PDF/X-4. Marks & Bleeds → enable Use Document Bleed Settings.
Photoshop: Ensure final pixel size supports 300 DPI at trim. Export as PDF with high quality; avoid aggressive compression.

Canva

Export: Download → PDF Print. If available, enable Crop marks & bleed.
Warning: If Canva elements are low-res, the PDF will still look soft in print. Use high-res uploads and avoid tiny placed images.

Photo AI / Generative Tools / “New App” Exports

Export high-res: Choose the highest resolution output; avoid screenshots. If possible, export at 2×–4× intended size.
Place into layout: Put the AI image into Illustrator/InDesign/Canva at final trim size, then export PDF Print with bleed.
Text quality: If the tool rasterizes text, recreate text as real type in your layout program for crisp output.
Fast approvals: Include a “proof intent” note (e.g., “colors must match brand standards” or “this is a speed run — match as close as possible”). We will route proofing accordingly.
